What is Sondereigentumsverwaltung?
WEG-Verwaltung
In a German apartment building the WEG administrator (Hausverwaltung) only looks after the common parts of the building: roof, staircase, heating, insurance. Your own flat is not part of that job – the tenancy, the rent, the service charge statement for your tenant and repairs inside the flat remain your responsibility.
Sondereigentumsverwaltung
A Sondereigentumsverwaltung (special property management) takes over exactly these tasks. For owners who live abroad it is the simplest way to rent out a flat in Germany reliably and in line with German law.

You own a flat in Germany but live elsewhere. Letters from the tenant, the WEG administrator or the tax office reach you late – or not at all.

You have inherited a flat in Germany and need someone on site to deal with the tenant, the accounts and the paperwork.

Your flat is an investment. You want the rent to arrive on time and the costs to stay under control – without travelling to Germany.

Rent arrears, a tenant moving out, repairs or a rent increase: we handle it on site and, where legal action is needed, involve a lawyer in agreement with you.

Rent collection and monitoring
The rent is paid into a separate administration account. We check every payment and contact the tenant straight away if one is missing.
Reminders and dunning letters
We send payment reminders and formal dunning letters in German. In persistent cases of arrears we agree the next steps with you.
Post and correspondence
Letters from your tenant, the WEG administrator, utility companies and authorities come to our Berlin office. We scan them, tell you what matters and reply on your behalf.
Ongoing costs
House money (Hausgeld) and other recurring costs are paid on time from the administration account.

Tenant, WEG administrator, tradespeople and authorities have one contact on site – us.
Annual statement and payout
Once per calendar year you receive a statement of the administration account, and the surplus is transferred to you.

German terms explained
- Sondereigentum
- Your own flat in an apartment building – as opposed to the common property (Gemeinschaftseigentum) such as roof, facade or staircase.
- WEG / WEG-Verwaltung
- The association of all owners in the building (Wohnungseigentümergemeinschaft) and the administrator it appoints for the common property.
- Hausgeld
- Monthly advance payment every owner makes to the owners' association, based on the annual budget (Wirtschaftsplan).
- Kaltmiete / Warmmiete
- Net rent without service charges / rent including advance payments for heating and service charges.
- Betriebskostenabrechnung
- Annual statement of the service charges for the tenant. In general it must reach the tenant within 12 months after the end of the billing period.
- Mahnung
- Formal payment reminder. In general, a landlord may terminate without notice once the arrears reach two months' rent.
- Kappungsgrenze
- Cap on rent increases up to the local comparative rent: in general max. 20 % within three years, in Berlin 15 %.
- Mietkaution
- Security deposit of the tenant, at most three months' net rent, kept separately from the landlord's assets.
Frequently asked questions
What is the difference between WEG administration and Sondereigentumsverwaltung?
The WEG administrator manages the common property of the whole building. The Sondereigentumsverwaltung looks after your own flat: tenancy, rent, service charge statement for the tenant, repairs inside the flat and your post.
Do I have to travel to Germany?
No. The contract, the power of attorney and all communication work by post, email and phone.
How do I receive my rent?
The tenant pays into an administration account that we manage for you. Running costs are paid from it, and the surplus is transferred to you once per calendar year. Each additional statement with payout costs €50.
What happens if the tenant does not pay?
We send reminders and dunning letters straight away. In cases of wilful arrears we take the necessary steps (from €100, depending on complexity); if court action is required, we involve a lawyer in agreement with you.
Can you find a new tenant?
Yes. Re-letting costs two months' net rent plus 19 % VAT. The handover inspection with the outgoing tenant in Berlin costs €100.
Do you also manage properties outside Berlin?
Yes, throughout Germany. Attending an owners' meeting outside Berlin costs €500, in Berlin €200.
Can you help with my German tax return?
We prepare all documents and send them to your tax advisor (€150). We do not give tax advice ourselves.
What does property management cost per year?
For one rented flat about €900 per year incl. VAT: €600 for the management (€50 per month), €100 for the service charge statement and €200 for one owners' meeting in Berlin. Further services are charged only when needed.
Do I have to pay tax in Germany on my rental income?
Yes, as a rule rental income from a property in Germany is taxable in Germany, even if you live abroad (limited tax liability). We prepare all documents for your tax advisor (€150); we do not give tax advice ourselves.
Can you vote for me at the owners' meeting?
Yes. With a power of attorney in text form we attend the meeting and vote according to your instructions.
What happens to the tenant's deposit?
The deposit (at most three months' net rent) must be kept separately from your assets. We check that it is invested correctly and handle it when the tenant moves out.
